CAIDi (Curriculum Approvals Database online) is a UWA-developed curriculum management system that is used for developing, changing, approving and managing curriculum information.

Who is this advice sheet for?

This advice sheet is designed to assist Faculty Curriculum Officers and other faculty members with CAIDi 'Change' permissions in submitting change requests due to unforeseen circumstances via CAIDi.

How to submit a request for change due to unforeseen circumstances in CAIDi?

  • Log into CAIDi.
  • Find the active curriculum you want to make changes to using the 'Search' function in the menu.
  • Click on the 'Summary' button.
  • Click on the 'Changes' tab on the Unit Summary page.
  • Based on the year that the change is going to be effective from, go either to the 'Fast-track changes' or to the 'Annual changes' section.
  • Under the 'Changes due to unforeseen circumstances' category, click on the 'Request additional fields to be opened for Fast-track changes' button, or on the 'Request additional fields to be opened for Annual changes' button, depending on the year that the change will be effective from.
  • A new form will be opened. On this form, select the fields that you want to change and fill all the requested fields.
  • Based on your permission level, you can submit the request to the central Curriculum Management team (if you have 'Manage' permission) or to the Faculty (if you have 'Change' permission).

 

A detailed justification needs to be provided, and should include the following:

  • details of the changes to be made
  • rationale for the change to be effective immediately
  • description of the impact of the change on the course and student progression
  • confirmation that the Faculty/School will be responsible for advising all students enrolled in the course of the late change.
Please note: UP11/46 University Policy on: Changes to Units:

1.1 Changes to units must only be made where there are sound academic or administrative reasons and ensure:

  • that potential impact on students is minimised
  • high standards of teaching
  • compliance with relevant legislation

 

What happens after a request for change has been submitted?

Your request will be considered in light of policy, system, and stakeholder requirements. To track your request:

  • Log into CAIDi.
  • Find the curriculum using the 'Search' function in the menu.
  • Click on the 'Summary' button.
  • Click on the 'Changes' tab on the Unit Summary page.
  • Based on the year that the change is going to be effective from, go either to the 'Fast-track changes' or to the 'Annual changes' section.
  • Click on the 'List of requests for opening fields in Fast-track changes' button or the 'List of requests for opening fields in Annual changes' button.

 

You may receive an alert in your mailbox to provide further information. Only users with 'Manage' permission have access to respond to the feedback. To respond to the feedback, click the link provided in the email and the edit form will be opened up, enabling you to update and submit the request.

Alternatively, you also have access to the edit form following the steps below:

  • Log into CAIDi.
  • Find the curriculum using the 'Search' function in the menu.
  • Click on the 'Summary' button.
  • Click on the 'Changes' tab on the Unit Summary page.
  • Based on the year that the change is going to be effective from, go either to the 'Fast-track changes' or to the 'Annual changes' section.
  • Click on the 'List of requests for opening fields in Fast-track changes' button or the 'List of requests for opening fields in Annual changes' button.
  • You will see a list of change requests. Find the relevant request and click on 'Revise request in response to feedback' button.
  • The form will be opened up and you can update and submit the request.
